When RepFiles users are authorized to access a plugin, they are granted access to the content inside the plugin’s root folder. Our recommended folder structure is designed to give all appropriate users access to the materials they need, while allowing content managers to update files in as few places as possible.

 Below is the recommended folder structure for manufacturers looking to deliver content to external sales reps, distributors and internal company associates.

  1. Create a folder inside the RepFiles Browser that will contain all the general sales and marketing content that all your users can access. You do not need to include your company name in the folder name as users will clearly be able to identify your company's content by the plugin name and icon. Suggestions for folder names include "Sales Materials," "Sales and Marketing Materials" or simply "Sales" (as shown below).

  2. Create a second folder inside the RepFiles Browser at the same level as the general sales folder that will contain the confidential information you only want your sales reps (and possibly internal associates) to access. Do not include your company name in the folder name. We suggest simply naming the folder "Reps" (as shown below).

  3. Create a third folder inside the RepFiles Browser at the same level as the reps and general sales folders that will contain the confidential information you only want your internal associates to access. Do not include your company name in the folder name. We suggest simply naming the folder "Internal" (as shown below).
The three root folders for each of your three plugins should appear as follows inside the RepFiles Browser:



When you are ready to generate the plugins so they are visible to users inside the RepFiles apps, each plugin will target one of these root folders.

In the example shown below,
  • Distributors will have access to the "ABC Tools Sales Materials" plugin (which targets the "Sales" folder inside the RepFiles Browser).
  • External sales reps will have access to the "ABC Tools Reps" plugin (which targets the "Reps" folder inside the RepFiles Browser) AND the "ABC Tools Sales Materials" plugin.
  • Internal company associates will have access to the "ABC Tools Internal" plugin (which targets the "Internal" folder inside the RepFiles Browser) AND the "ABC Tools Sales Materials" plugin AND the "ABC Tools Reps" plugin (if appropriate).
